Consolidating Users into one Catalyst Organization

Sometimes it’s necessary to move a group of respondents from one Catalyst organization to another. When people are in different organizations, they are not visible to one another on Catalyst.

How Do Users Get Split into Different Organizations?

This can happen for a couple of reason, intentional or accidental:

  • Intentional: You separated a group of learners into a cohort for a training session or program (Why? See the article Catalyst, Organizations, and Training Sessions).
  • Accidental: There were two similar organizations (i.e., ABC Company and ABC Company, LLC) and sometimes you chose one of them and sometimes you (or someone else) chose the other one.
  • Accidentally intentional: Sometimes it seems like a good idea to separate Catalyst users into departments or divisions, but later you decide that it’s better to keep them together (perhaps because you read our article Multiple Catalyst Organizations or Just One? and decided to combine everyone.

In any case, you want everyone in the same organization, so let’s address getting the users consolidated under a single company. It’s actually quite easy, but it’s definitely not obvious.

How to Consolidate Organizations

Let’s continue using the example above, where some users are in ABC Company and others are in ABC Company, LLC. We want to move the users in the first one (no “LLC”) into the second one (with “LLC”). Here are the steps:

  • Go to the Manage Reports menu and, under the Batch Functions heading, choose Catalyst: Edit Organization
  • On the screen that appears, type ABC Company into the Organization field and select the entry from the dropdown that has “LLC” appended
  • Click the Add Reports button and on the search screen, enter ABC Company into the Organization field and select the entry from the dropdown without the “LLC” at the end
  • Click the Search button
  • Assuming these are the records you are looking for, click the Select All button
  • When the summary screen loads, click the “I confirm…” checkbox and then the Update Organization button

That should do it!

How to Fix the “Catalyst user is not Synced” message

This is very easy, actually, but it is not very obvious. Although the message is displayed on the Manage Users screen under the Manage Your Account menu, that’s not where we go to fix it.

Instead, go to the Personal Options menu and choose My Personal Settings. This screen can be a tad confusing, because of the way it works. Start by clicking on the dropdown by “Select a function to perform”. Choose the last selection, “Synchronize my EPIC and Catalyst users”.

Once you do that, you might see an orange panel telling why you would want to do this, but the important thing is to complete the two empty fields: Catalyst email and Catalyst Password. Enter those two items and click the “Sync Users” button.

That’s all it takes.

Folders and Catalyst Organizations are completely unrelated. While folders weren’t part of what we just did, the confusion comes up often when discussing Organizations.
