Ensuring DiSC Invitation Email Delivery

Do you have users who aren’t receiving DiSC invitation emails from EPIC? Let’s explore some troubleshooting steps and learn how to send invites from your own email account, bypassing EPIC altogether.

Common EPIC Email Delivery Issues 

EPIC’s email system is designed to maximize the delivery of email invitations and reminders. However, emails sometimes end up in junk or spam folders, or recipients may claim they aren’t receiving them at all. While the issue is usually due to user error, as the EPIC Administrator, your priority is ensuring assessments are completed on time.

Our Assessment Invitation Process

When administering DiSC invitations for a client, we follow this process:

  1. Initiate Invitations 7-10 Days Before the Workshop:
    • Less than 7 days makes it difficult to complete on time
    • More than 10 days increases the risk of recipients forgetting their results
  2. Specify Timing of the Initial Batch:
    • Send the initial batch 15-30 minutes after the start of the workday
    • This timing helps catch their attention before they get busy
  3. Customize the Email Subject Line:
    • Include the word “DiSC” and something identifiable (your name, or the company, project, or team name)
    • Use a phrase like “Action Required” to prompt immediate attention
  4. Set a Reminder:
    • Schedule the automated reminder for 3-4 days later, either in the morning or right after lunch
    • Escalate the attention-getter in the subject line to “Urgent”, or add the due date
  5. Do One Manual Follow-up
    • Use the “Resend Login Information” feature in EPIC to manually send a reminder after the automated one

This tends to get good results, but there are always stragglers. While the system will permit additional manual reminders, we’ve found it’s best to take the personal approach if the respondent hasn't taken action.

How to Send DiSC Invitations from your Personal Email

To personally send a DiSC invitation, send the respondent the correct assessment link and their access code. This can bypass spam or junk filters, assuming your emails reach the respondent successfully.

First, Locate their Access Code

You can find the respondent's Access Code by printing a Pending Report (from the Manage Your Account menu, choose Pending Credits Report, under the Account Activity Reports header).

Alternative Method: We find it faster to use the Edit Existing Reports function (from the Manage Reports menu, choose Edit Existing Reports). Search for their record and then copy their Access Code from the results.

Basic Method

The simplest way to send an invitation personally is to send the link and Access Code separately. First, choose the correct link:

For Catalyst, the assessment link is https://catalyst.everythingdisc.com/access-code

For traditional assessments, the link is https://www.wiley-epic.com/

Copy and paste this link into your email and then include their Access Code.

Advanced (Better) Method

The basic method works just fine, but the respondent has to enter (or copy/paste) their Access Code. Eliminate this step by embedding the code into the link. For example, if the Access Code is XACSSCODEX:

For Catalyst, the assessment link is https://catalyst.everythingdisc.com?ac=XACSSCODEX

For traditional assessments, the link is https://www.wiley-epic.com?ac=XACSSCODEX

Important! Be sure to replace XACSSCODEX with the respondent’s actual Access Code.

What if no one is receiving the emails?

If you have more widespread delivery problems, then you might need to involve your IT department to adjust internal mail server settings. There is a guide for IT staff in EPIC. You'll find it under the Help menu, in the Technical Documents section. The file is called Email Troubleshooting and contains information to assist with these adjustments.
