There’s a new feature on your EPIC Account: Catalyst™ Bulk Upgrades

Through EPIC it is now possible to upgrade up to 150 existing respondents to Catalyst™ through the Use Existing Report function when creating Catalyst access codes. And until December 2024, most of those upgrades will be free!

What Catalyst Bullk Upgrade Function Do?

Almost everything that exists in the world was made to solve a problem. And this new batch function is no exception.

Before this function came along, EPIC provided three ways of creating assessment invitations. These are accessed through the three tabs on the Add Respondents panel, found on the Create New Access Codes screen:

  • Enter Individual: type an email address and name for each respondent
  • Import from Excel: upload a spreadsheet list of respondents
  • Use Existing Report: search for existing records and use them to create new reports

It’s this last one, Use Existing Report, that we’re focusing on.

The search function of Use Existing Report works fine, as long as all of the desired records are in one folder or subfolder. But if not, it becomes tedious and time-consuming to find them all individually.
With this update to EPIC, there is now an Upload button, similar to the one on the Import from Excel tab. Think of this function as a combination of Import from Excel and Use Existing Record.

How to Use an Existing Report to Create a New DiSC Assessment

This makes it much easier to upgrade a large selection of existing records when they span folders and aren’t easily found without multiple visits to the search screen. Instead of searching for the records in EPIC, you’re supplying a list of email addresses and having EPIC look for them.

For a walkthrough of the specific steps, see the job aid. But basically, you supply an Excel file to the system and it returns a list of results based on that spreadsheet. Whenever an existing record is found, EPIC will re-use the data from the existing record, saving your respondents time. The shorter assessment only takes about 10 minutes to complete.

What the system may find when doing Catalyst Bulk Upgrades:

When the Respondent Does Not Have an Existing Record

If the person in the list has no matching EPIC records, they will appear on the list with a red “2” footnote. That corresponds to, “Respondent was on the import file but not found in EPIC”. At this point, the system behaves just as if you had imported them as a new assessment. The amount of credits of the report you are creating will be shown (and charged, if you continue). If you don’t want that person to get a new assessment, you can click the “x” icon to the left of their entry and remove them from the list.

When the Respondent Only Has an Existing Catalyst Record

If the only record on file for the respondent is a Catalyst record, EPIC treats the entry as if there is no pre-existing record at all, exactly as in the above section. If you don’t remove this entry from the list, that person will receive a new Catalyst invite and the EPIC Account will be charged the corresponding credit amount. In most cases, you will want to remove them from the list.

When the Respondent Has an Existing non-Catalyst Record

When an existing non-Catalyst record is found, the entry will show the record type that was matched (Workplace, Management, etc.). Through December 31 2024, all Everything DiSC assessments are eligible for a free upgrade, so until then, these will show as being eligible for a credit discount. For a base, Workplace-only Catalyst assessment, this will show a net of 0 credits to be used. If you are creating a Catalyst assessment that includes Agile EQ and/or Management, the balance of credits “due” will be shown, if there is one.

When the Respondent Has Multiple Records Eligible for a Catalyst Upgrade

If the respondent has multiple records, say a Workplace and Management record, EPIC will choose the one that matches the Catalyst assessment being created and apply the appropriate discount. Let’s suppose, for example, you are creating a Catalyst assessment with the Management add-on and the system finds an existing Management profile for one of your imported respondents. EPIC will apply the 25 credit discount (while the free upgrade special is running) and the net cost would be zero credits.

Note that EPIC cannot apply the credit for both Management and Agile EQ at the same time. If you are in this situation, please contact us so we can work out a credit refund with Wiley.
